Pain Points

Scattered systems: Maui Oil’s employee data and business processes were spread across a patchwork of siloed tools. 

Clunky onboarding: The company had a patchwork of scattered tools and services to help onboard new hires into IT systems, but long delays meant employees didn’t have the work accounts and devices they needed on their first day.

Inaccurate info: Manual, disconnected processes led to errors; employees’ names were misspelled, their job titles were wrong, and new hires didn’t have the right security permissions. 

The Challenge

“It's very hard to manage a company when your information isn’t always accurate, and everyone is running off different sets of information,” said Randall Parabicoli, Maui Oil Company’s Chief Information Officer. Yet that was the state of play for the chain of Hawaii-based fuel stations—which wanted to grow its business and run more efficiently, but found its manual IT processes running on empty. 

Maui Oil’s employee information was scattered across its HRIS, Microsoft 365, Active Directory, and a hodgepodge of other business systems, which amounted to “lots of manual processes. Lots of room for error,” Randall said. On top of that, onboarding was inefficient due to the number of tools and services they needed to configure devices and work accounts for new hires.

Sometimes, the system created errors. Devices looked ready on the surface, but critical pieces were consistently missed—including incorrect names and job titles (one employee noticed a name misspelled on a new business card), and employees missing security permissions and necessary software on their devices. Other times, the system delayed onboarding. “You go to deploy a computer, and they don’t have the right security group, they don’t have the right folder permissions, they don’t have the right software, or they’re not in the right department,” Randall said, adding that sometimes it took a week for them to get access. “We weren’t providing the level of service our team needs.”

On top of that, a past migration to SharePoint—structured as one massive site rather than by department—created a permissions nightmare. Every time a new hire started, IT had to manually identify which folders and access they needed, sync them to the employee’s device, and manage one-off access requests. Randall estimates this work took about four hours per employee, often stretched over several days.

Maui Oil ditched the manual busywork and brought its IT processes under Rippling IT. “It’s saved us so much time, effort, and peace of mind knowing things are set up correctly now,” Randall said.

Maui Oil doesn’t drain time manually reconciling siloed systems anymore. Rippling IT connects and manages every sliver of the company’s employee data. “It’s our single source of truth, pushing down to our other systems to ensure the accuracy of all our information,” Randall said. “There really aren’t limitations; you can connect to whatever systems you want.”

What used to be a manual, multi-step process—like assigning different software depending on an employee’s department—is fully automated.  Now, with Rippling’s Microsoft 365 integration and department-based Supergroups, SharePoint access is based on employee attributes and no longer needs manual setup each time. “That’s awesome. I don’t see that in other systems,” he said. “Rippling’s employee graph sits on top and feeds everything—what people get on their equipment, what level of access they need, what security groups they belong to, and which SharePoint sites they’re members of—so we don’t have to do all this manually.”

Rippling also stood out because it went far beyond single sign-on. "Rippling turned out to be so much more than SSO—it became our hub for access, MDM, patching, and security,” Randall said. “One system, orchestrating all of IT."

The upshot: Maui Oil handles IT in less time, with fewer errors. “If you don't have a single source of truth, you're going to be chasing your tail, trying to make sure your employee information is accurate,” Randall said. “There’s a night and day difference between us before Rippling and after.”

Hassle-free onboarding

Rippling’s IT features turned Maui Oil’s headachey onboarding process into a fast, error-free breeze. The team configured Rippling to automatically create email accounts several days before a new hire’s start date, ensuring they're ready to go on day one. For more sensitive apps or permissions, access can be scheduled to activate exactly when an employee begins, giving Maui Oil complete control over timing.

“My goal is for our employees to have everything they need on day one,” Randall said. “I know Rippling can do that for us.”

Randall also said Rippling’s IT infrastructure provides the foundation that’ll help the company scale. “I want to build sustainable systems that don’t have to rely on my involvement. We average about 100 support tickets a month right now. With Rippling IT’s capabilities, I already see that number going down by 20%, maybe more,” he said.

Tireless support

Randall also appreciates Rippling’s deep well of support resources. The in-app chat feature often has immediate, thorough answers to his questions when he runs into issues. And when the chat can’t help, it immediately connects Randall to a support agent, who’s always happy to hop on a Zoom and share screens to help troubleshoot. 

“We can’t always expect someone to drop everything and help us when we’re in the middle of the Pacific Ocean,” Randall said. “The fact that Rippling offers that level of support means a lot.”

He also shouted out his smooth Rippling implementation process, where his representative got him up and running quickly and was always eager to work with engineers to find the best solutions to any issues that came up.

Easy to use

Maui Oil’s admin team also finds Rippling’s IT features easier to use than past systems. “The interface is great,” Randall said. His team just had a meeting where a colleague asked how to contact an employee. “I pulled up Rippling and said, ‘Look, all our data is in one place now!  You can pull it up on your phone or browser.’” He also walked colleagues through how to easily make approvals, address onboarding checklist items, and more. Even team members without technical backgrounds can navigate the platform confidently—no specialists required.

“I really appreciate what Rippling is doing for us. I love where we’re going,” he said.
