Introducing IT Management: Complete visibility and control over all things IT

As an IT admin, your number one job is to make sure your workforce can get access to what they need to do their jobs securely. It’s hard to get your IT tasks in order when all you have to go on is data manually collected from your HR team across various systems or pulled from the HRIS. Sure, employee data may be available, but is it the exact information you need as an IT admin to manage employee devices, provision app access, and prepare for an audit? Historically, no. There is also the risk, no matter how good the intentions, that IT tasks handled in a system not purpose-built for IT could limit visibility, control, and security. You risk not knowing how and by whom IT tasks are being handled, and you don’t have a centralized view of all IT-related processes and requests.

With IT Management, you can choose to be as hands-on or hands-off as you like when it comes to onboarding, employee transitions, and offboarding. With customizable workflows, permissions, and automations in place, you’re in the driver’s seat. Want to set your HR partners up for success and let them handle the IT basics, like ordering new hires' laptops? You can do that. Would you prefer to control every aspect of IT in one place yourself? Now you have the power to end the constant barrage of questions: I noticed our new hire’s name is spelled differently in two places. What’s the right spelling? I see our top engineer has been promoted. What new user groups do they need to be added to? We have a request for a monitor that is above budget. Can we approve it? I think our design lead’s last day was last Friday. Do you have any idea when their laptop will be returned? 

IT people directory

Traditional employee directories offer a lot of detail, but it’s rarely the details IT admins need to see. Now, IT professionals have a purpose-built view of the user directory with the information that matters to their daily work: users, assigned devices, number of apps, MFA status, and more—and none of the unnecessary details, like sensitive personal data. 

From there, you can dig into more device and user information. You can even take actions like resetting MFA if needed, all from the same screen.

IT approval policies

When other teams handle IT tasks like ordering laptops and provisioning app access, there is always a chance something falls through the cracks, or worse, exposes you to serious security risks. 

That’s why we’ve set up an easy way for you to control exactly how IT tasks are managed. This can include device orders, assignments, app provisioning, and password sharing from onboarding to offboarding (and everything in between).

 Here are the three ways you can effectively work together in IT Management:

  • Delegate tasks to other teams, including HR: You can set up initial policies and procedures and then fully delegate these tasks to HR, hiring managers, and other teams.

  • Set up IT approvals for certain tasks: You can require IT approval for certain tasks when a rule or policy has been triggered from the IT Management app. For example, you can choose to have both IT and the CFO as required approvers for any device purchase requests exceeding $2,500. Or you can require IT to approve any app requested outside of the current access rule policy for that specific role. 

  • Require IT fulfillment: If you’d rather hold all the cards, you can choose to be the only one able to fulfill IT tasks across onboarding, employee transitions, and offboarding. 

This new flexibility gives IT teams all the benefits of workflows and automations through Rippling without having to give up control over the process. A win-win for IT admins, cross-functional partners, employees, and company security.

Now, there’s a centralized dashboard for managing requests and tasks across every aspect of IT throughout the entire user lifecycle. 

  • New requests will appear when other teams take actions that require IT approval.

  • Tasks for the IT admin will automatically populate when triggered by rules you create.

From these tabs, you can approve requests, complete important tasks, and gather all the context you need, including who made the request, why, and the employee involved. There is even a collaboration feature that lets you comment and tag relevant team members with questions or updates.
